Salary Range:  The hourly rate for this part-time position (14 to 28 hours per week) ranges from $32.05 to $37.64 per hour.

THE ROLE

Reporting to the Director of Finance, the Payroll/Accounting Administrator is responsible for supporting the processing and recording the payroll and accounting operations of the organization. This includes processing and recording payroll across all foreign jurisdictions where JES operates, preparing journal entries and reconciling accounts, maintaining an adequate system of payroll and accounting records, and implementing a comprehensive set of controls and budgets designed to mitigate risk in financial record keeping.

KEY AREAS OF RESPONSIBILITIES 

Payroll and Administration

  • Process and/or record payroll for all staff in Canada and all foreign jurisdictions where JES operates. Work with international accountants as needed to ensure compliance with prevailing tax and benefits requirements, including all ancillary reporting, retirement program remittances, and foreign social security remittances.
  • Record and reconcile financial transactions related to JES employee benefits plans, including reconciling monthly benefit invoices.
  • Prepare appropriate journal entries and accurately record full-cycle payroll expenses in Sage Intacct.

Full-Cycle Accounting and Fixed Assets

  • Calculate and record journal entries for prepaid expenses, deferred revenue, overhead, bank account revaluations, etc.).
  • Complete the monthly reconciliations for all balance sheet accounts and selected vendor (credit cards) accounts.
  • Create and maintain fixed assets listings for all JES assets in compliance with JES and Funder requirements.

Accounts Payable/Receivable/Donations

  • Relief to support the Guatemala Accounting Administrator, as required, to:
    • Process vendor invoices, credit card receipts, expense reports, client invoices and/or cash receipts or electronic client payments for multiple projects in accordance with JES' and various Funder's policies and practices.
    • Process payments (checks, wire transfers, direct deposits, etc.).
    • Process and reconcile donations in multiple systems (BasicFunder, Keela and Sage Intacct).

Financial Reporting

  • Assist with building project and program reports (multi-currency financial and statistical managerial reports) in Sage Intacct.
  • Assist with importing project and program budgets into Sage Intacct.
  • Act as the “super-user” for staff support for payroll and accounting programs.
  • Participate in cash flow management, including making recommendations on inter-account transfers.
  • Assist the Director of Finance with internal and external financial reporting.
  • Assist the Director of Finance with project and JES audits.

Other

  • Assume additional responsibilities as needed to drive our mission forward.

 THE PERSON

Knowledge, skills, and experience

  • 3+ years Canadian payroll and full-cycle accounting experience required.
  • Thorough knowledge and understanding of payroll and accounting principles and procedures.
  • Ability to deliver quality work on tight deadlines, with strong organization and priority setting skills.
  • Advanced computer skills, specifically in Excel (pivot tables, vlookups, etc.) and with computerized accounting systems.
  • Knowledge of Sage Intacct is an asset.
  • Knowledge of payroll software (ADP, etc.) is required.
  • Effective verbal and written communication skills in English; Fluency in Spanish would be an asset.
  • Strong organizational skills and the ability to maintain detailed records.
  • Strong interpersonal and analytical skills required.
  • Accurate data entry and superior attention to detail.
  • Proven prioritization, professionalism, and time management skills.
  • Ability to multi-task, work under pressure and meet deadlines in a fast-paced environment.

Education

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field, or equivalent relevant experience.
